At Host Media, we are committed to safeguarding your privacy and keeping your information secure. We store only the essential data needed to manage the services you’ve signed up for, ensuring your privacy is our priority.
We're PCI DSS Compliant
We have secured our facilities to be completely PCI DSS compliant to ensure your data is kept secure. All transmitted data is encrypted which includes credit/debit card details. The data that Host Media holds on you is held in PCI DSS compliant data centres.
Secure information
All personal information is stored on secure databases. Only certain staff (based on department and required level of access) are able to view that information. All information is password protected on both our live systems and backups.
Requesting your information
If you would like to see a full copy of the information we store regarding your account, open a data & privacy request and the team will be happy to send a copy of your data. You can also login to your client portal to view this information.
Email Marketing
From time to time we will send out marketing emails, you are free to opt out at any time by clicking the 'Unsubscribe' button at the bottom of any marketing email we send, or you can login to your client portal, click 'Edit Profile' and then select the newsletter setting you wish to apply. We will never sell or send your information to 3rd parties for their marketing. If you are informed by a 3rd party that information was provided to them by us please contact a member of the team immediately so we can start an investigation.
Non-marketing based emails such as information related to the service you have purchased from us will be sent even if you have unsubscribed from email marketing. This ensures you are aware of any changes to your service. These emails will not contain any marketing material.
Marketing emails are sent using internal systems, as well as SendGrid email services.
Secure Payments
We accept credit/debit cards via a secure system as well as PayPal. We use a high grade EV 'Secure Sockets Layer' (TLS) that encodes all information that you enter on this website. You can confirm this by checking your browser address bar which will show a green padlock.
Card Information
Any card information stored is encrypted on our PCI compliant servers. You can remove any details via your client portal. Please contact a member of the billing team if you need any help with this or would like us to remove this for you.
WHOIS Data
When ordering a domain name service you will have the option to use your billing details or to add a contact to your domain for the purpose of the WHOIS data. This data by default is public and can be viewed by any WHOIS tool (for example http://whois.domaintools.com/). If you wish your data to be private please select the 'ID Protection' option when ordering your domain service. Please be aware there are services out there that scan recently renewed/updated or registered domains that will then scrape your information to be used for telemarketing or SPAM. Please make sure to only publish information you want to make public. If you have any questions or would like advice please contact the sales team who can assist you.

Host Media as a Data Controller
Host Media is classed as a “Data Controller” when we determine the purpose and method of “our” personal data processing. Host Media collects data for billing, managing accounts, improving the quality of services and performance, sales and quoting etc.
How we backup and store your hosting data
Cloud platform data and its backups are stored in the UK, with backups held off-site from the platform itself. Backup storage for VPS, cPanel and DirectAdmin services is provided by EU partners with storage locations in Germany and Finland. Data is transmitted securely to these locations from all of our servers.
Backup retention varies by service: cloud webspace and email snapshots are retained for 30 days and cloud database backups for 60 days; cPanel and DirectAdmin backups are retained for 30 days; VPS snapshots are retained on a weekly (4 snapshots) or monthly (1 snapshot) cycle depending on plan. Once a backup passes its retention period it is securely deleted. See our Security & Trust page for the full backup matrix.
Our commitment

- To only use the data collected for the purpose for which it was collected.
- Not transferring this data to third parties other than companies associated with Host Media and acting as part of the performance of the service that we provide. Example 3rd parties include Accountants, Support Providers etc.
- Implement technical and organisational measures to ensure the highest level of security.
- To ensure all customers know exactly where their data is held.
- Provide a complete audit trail for our infrastructure and service providers to ensure we are completely transparent.
